Anyone starting a B&B hears the term soon enough: "you need a PMS". But what exactly is a PMS, and do you really need one as a small operator with four rooms? This article explains it without the jargon.

PMS = Property Management System

A Property Management System is the operating system of your accommodation. Everything related to your rental comes together in it:

  • The calendar — who sleeps when in which room, with drag-and-drop moves.
  • Bookings — from all sources (Booking.com, Airbnb, your own website, phone) in one list.
  • Pricing — base rates, seasons, weekend supplements, length-of-stay discounts.
  • Payments — deposits, balance at check-in, refunds.
  • Invoices — generated automatically, VAT correctly split, ready for your accountant.
  • Guest communication — confirmations, check-in instructions, follow-ups. In a modern PMS also via WhatsApp.
  • Housekeeping — which rooms need cleaning today.
  • Reporting — occupancy, revenue per channel, tourist tax.

Without a PMS you do all of that with a paper diary, Excel and copy-pasting between extranets. That works — until it doesn't.

PMS, channel manager, booking engine: what's the difference?

Three terms that often get mixed up:

  • The PMS is your central administration (see above).
  • The channel manager is the link between your PMS and the booking platforms. It pushes rates and availability to Booking.com, Airbnb & co and pulls reservations in. Modern systems use Channex for this, the standardized API behind dozens of channels.
  • The booking engine (booking widget) lets guests book directly on your own website — commission-free.

Does a small B&B need a PMS?

The honest rule of thumb:

  • 1-2 rooms, Airbnb only: not yet. The Airbnb app is enough.
  • 3+ rooms or 2+ channels: yes. From the moment the same room is bookable in two places, you risk double bookings — and nothing is more painful than a guest on your doorstep for a room that's already taken.
  • Multiple properties: absolutely, and pick a PMS that supports multi-property in a single account.

The second tipping point is time. Operators who switch to a PMS consistently report the same thing: 5 to 10 hours per week less administration. Time that can go to breakfast, guests and marketing instead.

What does a PMS cost?

For B&Bs and small boutique hotels, 2026 prices roughly range between €30 and €250 per month, depending on room count and modules. When comparing, watch out for:

  1. Commission on direct bookings — some systems charge a percentage on bookings via your own widget. Avoid that: direct bookings should be commission-free.
  2. Channel manager fees — sometimes a separate (expensive) add-on per channel.
  3. Setup and migration costs — a good PMS imports your existing data for free.
  4. Contract length — monthly cancellation is the norm, annual lock-in is a red flag.

Questions to ask every PMS vendor

  1. Is the channel manager Channex-certified, or does it run on older one-to-one connections?
  2. Is WhatsApp part of guest communication, or e-mail only?
  3. Can I manage multiple properties in one account?
  4. How does tourist tax reporting work for my region?
  5. What happens to my data if I want to leave — do I get a full export?

Conclusion
