A booking by phone, e-mail or WhatsApp: how to enter it correctly

Bookings that do not come through a channel are your most profitable and your riskiest at the same time. A fixed seven-step method: from the call to confirmation, deposit, channel tagging and invoice, without double bookings.

The phone rings while you are setting the breakfast tables. Someone wants two nights on the weekend of the second. You say it will probably work, you write the name on a scrap of paper next to the coffee machine, and you promise to call back.

That scrap of paper is the most dangerous object in your house. As long as the booking only exists there, your calendar is still wide open to the rest of the world. Booking.com knows nothing about it. Airbnb knows nothing about it. Your own booking engine knows nothing about it. And the one time it goes wrong is precisely the weekend when everything is full.

Bookings that do not come in through a channel are at the same time your best and your most fragile bookings. The best, because no commission is taken and you set the terms yourself. The most fragile, because there is no system doing the work for you. This article gives you a fixed method in seven steps.

Where it actually goes wrong

Almost every mistake with a manual booking comes from the same gap: the time between "let me note that down" and "it is in the system". Three things happen in that gap.

First, a channel sells the same night. A channel manager can only close availability it knows about. What lives in your head or on a note does not count. How that protection works is explained in preventing overbookings with a channel manager.

Second, the price agreement blurs. Spoken out loud, "one hundred and forty a night, breakfast included" sounds perfectly clear. Three weeks later the guest remembers something different, or you have forgotten that you dropped ten euros on the second night.

Third, the booking disappears from your numbers. If you cannot find your direct bookings afterwards, or you file them under the wrong channel, you end up with a distorted picture of your channel mix. And those direct bookings are exactly the ones you earn most on.

The seven steps

1. Note the right details during the call

Keep one fixed checklist, so you never have to call back about something trivial: arrival and departure date, number of adults and children (with ages, because they often determine the price), preferred room or room type, name, mobile number, e-mail address, language, expected arrival time and any specifics such as allergies, a pet, or a bike that needs to come indoors.

Always ask for the e-mail address, even for a short enquiry by phone. Without it you cannot confirm anything in writing, and step three already starts off wrong.

2. Put it in your system immediately, even if it is not certain yet

This is the step that saves everything. As soon as the dates are set, you either create the booking or place an option on that room. An option is a reservation with an expiry date: the room is blocked, every channel sees it as occupied, but you know there is no final agreement yet.

Give every option a hard deadline, 48 hours for example, and mention that deadline in your confirmation e-mail as well. Without a deadline options pile up and you lose nights you could simply have sold. If nothing has come in by the expiry day, release the room and send a short message that the option has lapsed.

Important: use a real booking or option for this, not a calendar block "for own use". A block has no guest, no price and no payment attached, so it drops out of your revenue figures and your guest register.

3. Confirm in writing, always

An agreement over the phone is only an agreement once both parties have the same piece of paper. Send a confirmation within the hour containing: the dates and number of nights, the room, the number of guests, the total price with a note of what is included (breakfast, tourist tax, cleaning), your cancellation policy, and what you now expect from the guest.

That e-mail is your evidence in a dispute, but more importantly it takes the remembering out of your head. If you work from a system this is one button, with the right text already in place, in the guest's language.

4. Ask for a deposit or send a payment link

With an OTA booking there is a card standing behind it as security. With a phone booking there is nothing behind it, unless you put something there. A deposit of 20 to 30 per cent, or full payment for short stays, turns an intention into a booking. Why that works and how to phrase it politely is in asking for a deposit on a direct booking.

Practical tip: include a payment link in the confirmation rather than your account number. A link gets paid more often and faster than a transfer the guest has to type in themselves, and you can see straight away who has paid.

5. Tag the booking with the right source

Do not register the booking as an anonymous "direct booking", but with its source: phone, e-mail, WhatsApp, returning guest, or walk-in. It costs you two seconds and gives you an honest picture at the end of the season of where your revenue really comes from.

Without that tagging you will almost always underestimate your own direct channel, and then you invest too little in what works best. The calculation per channel is in calculating net revenue per booking channel.

6. Get the paperwork right immediately

A manual booking falls under exactly the same rules as a booking through a channel. Tourist or accommodation tax applies, the guest belongs in your guest register, and the nights count towards your statistical return. If the guest asks for an invoice in a company name, you want the VAT number and billing address now, not at checkout on Sunday morning.

Do this while creating the booking and month-end becomes a check instead of a reconstruction.

7. Close the loop before arrival

Before you expect the guest: check that the deposit has been paid, that the agreed price is still on the booking, and that any extras (extra bed, late check-in, pet) are listed. Five minutes of checking prevents the awkward conversation at the door.

WhatsApp and Instagram: nice channel, poor archive

More and more enquiries arrive through WhatsApp or a message on social media. That is fine to answer, but never treat the conversation itself as the booking. A chat is not searchable when you need it, lives on one device, and is unreadable for whoever covers for you while you are away.

The rule: answer in the chat, book in the system, confirm by e-mail. That keeps the speed of chat without hanging your administration on it.

And the walk-in at the door?

Someone who rings the bell spontaneously is a booking like any other, with one difference: you have no time. Create the booking first with the right dates and price, let the guest pay, and only then complete the name and e-mail address. What you do not enter today, you will not find next week.

Why this is faster than it sounds

Note the right details, put them into the system straight away as a booking or an option with an expiry date, confirm in writing, ask for a deposit, tag the right source, and settle the paperwork at the same moment.
