Combined units

Do you rent out a gîte or holiday home that can also be booked per room? With a combined unit you sell the same space in two ways at once: as a whole and as individual rooms. BedFlow automatically makes sure the two never get in each other's way.

The example: a gîte with three rooms. You create four units — Room 1, Room 2, Room 3, and "Entire gîte" as a combination of those three. As soon as someone books one of the rooms, the gîte as a whole is no longer bookable. If someone books the entire gîte, the three rooms close automatically.

Setting it up

First create the individual rooms as usual (creating a room).
Then create one more room for the whole — for example "Entire gîte". This is a regular room with its own name, its own photos, its own price and its own capacity.
Open that room and go to the Combined unit section. Under "Consists of these rooms", select the underlying rooms (at least two) and save.

That's it. From that moment on, BedFlow keeps both directions in sync automatically — on your booking page, in the calendar and on all connected channels.

A room may be part of multiple combinations: next to "Entire gîte" you could also create "Half gîte" with rooms 1 and 2. A combination cannot itself be part of another combination.

What happens automatically?

When an underlying room becomes occupied — by a booking, a manual block or an imported external calendar (iCal) — the combined unit closes for those nights.
When the combined unit is booked, all underlying rooms close for those nights.
On a cancellation or move, everything frees up again by itself.
In the calendar you recognise the automatic blocks by the 🔗 symbol, with the name of the room or guest causing the block.

If you manually block the combined unit itself, the individual rooms remain sellable — "don't sell the gîte as a whole" is not the same as "close all rooms". Want to close everything? Block the underlying rooms; the combination follows automatically.

Booking.com, Airbnb and other channels

Simply map the combined unit as an extra room (type) on your channels, just like any other room. BedFlow pushes the availability of all involved units automatically on every change — so the channels see the gîte disappear as soon as a room is booked, and vice versa.

If a guest on an OTA books the gîte in the exact same seconds a room was just filled, BedFlow keeps both bookings and you immediately receive a "Combi conflict: double sale" notification. That window is a few seconds wide; in that rare case, move one of the two bookings.

Price, minimum stay and other settings

The combined unit deliberately has its own prices, its own minimum stay and its own restrictions — nothing is derived from the underlying rooms. That way you can price the entire gîte sharper than the sum of the rooms, or give it a longer minimum stay.

Housekeeping, occupancy and reporting

Housekeeping: a booking on the gîte schedules cleaning for the real rooms; the virtual unit does not appear in the cleaning schedule.
Occupancy rate: the figures count only the physical rooms, so your percentage stays honest. A gîte booking simply counts as three occupied rooms.
Government reporting (Statbel): a gîte booking automatically reports the correct number of occupied units.

Does the combined unit count towards my subscription?

Yes — it is an extra bookable unit with its own listing on your channels and booking page, so it counts as a room in your subscription. Three rooms plus the entire gîte makes four units.

Frequently asked questions

Can I turn an existing room into a combination? Yes. Create or pick the room that represents the whole and tick the underlying rooms. Existing bookings on the underlying rooms are processed immediately: the combination closes automatically for those nights.

What if there is already a booking on the combination and on a room for the same night? BedFlow keeps both and sends you a combi-conflict notification, so you decide which booking moves.

Does this also work with external calendars (iCal)? Yes. A block arriving on an underlying room via an imported iCal feed closes the combination too. The export feed of the combined unit correctly shows it as occupied.
