House manager digest via WhatsApp

Does someone else look after your property on site — a house manager, head of housekeeping or concierge? Then that person doesn't want to have to log in to BedFlow, but simply see on WhatsApp who is arriving and leaving. The house manager digest sends a compact overview of all arrivals and departures at fixed times, with exactly the information you tick.

What's in the message?

For every arrival and departure in the chosen period (up to 14 days ahead):

  • Guest name and phone number — so the house manager can arrange the exact arrival time directly (often via WhatsApp)
  • Number of guests and the guest's country (little flag — handy for gauging the language)
  • Arrival and departure date with weekday, plus the number of nights
  • Check-in/check-out times, including custom times per unit
  • Special requests and booking notes (OTA boilerplate is filtered out automatically)
  • Extras such as breakfast or other booked products
  • ⚠️ A same-day warning when one guest leaves and the next arrives that same day — the cleaning team then has to fit in between the two bookings

Nothing new in a period? Then no repeat message is sent — the digest only goes out when something has changed.

Setting it up

  1. Go to Daily → House manager digest
  2. Add a manager with a name and WhatsApp number (international format, e.g. +32…)
  3. Tick the sections this manager should see (guest details, notes, extras, …)
  4. Choose the frequency (daily, weekly, …) and the language of the message
  5. Save — the next message goes out automatically at the chosen time

Requirement: your property needs a linked WhatsApp connection (see Connecting WhatsApp). Without a connection, BedFlow cannot send messages.

The planning portal (6 months ahead)

At the bottom of every digest there is a short link to a secured planning page with the same information in a clear web layout — up to 6 months ahead, ideal for scheduling cleaning teams further in advance.

The page is protected with a one-time code (OTP) sent via WhatsApp to the manager's number. Once entered, the session stays valid for 12 hours; after that the page simply asks for a new code. That way your house manager never has to remember a password, and a forwarded link cannot be opened by third parties.
