Connecting PriceLabs (dynamic pricing)

Pending approval by PriceLabs. BedFlow has applied to become a PMS partner of PriceLabs. Until PriceLabs approves the integration, you cannot use it yet and the tile shows Requested. This page describes how the integration works once it is released.

PriceLabs is a dynamic pricing tool. Every day it calculates a price per room based on demand, season, events and the prices of comparable accommodation around you. With the integration, BedFlow takes over those prices automatically and passes them on to all your sales channels.

How it works

  1. BedFlow sends your rooms (or room types) to PriceLabs, with your current prices and your availability for the next two years, all your bookings since 2020 and your blocks.
  2. PriceLabs calculates the prices and sends them back to BedFlow: usually once a day, and immediately when you click sync in PriceLabs.
  3. BedFlow sets each price as a daily rate in your calendar. From there it goes, just like a price you set yourself, automatically to Booking.com, Airbnb, Expedia and your own booking widget.
  4. Every new, changed or cancelled booking goes back to PriceLabs within a few minutes, together with your new availability. That way PriceLabs always works with your real occupancy.

Connect PriceLabs only through BedFlow, not directly with Booking.com, Airbnb or a channel manager. BedFlow is your channel manager: a price set on a channel outside BedFlow is overwritten by BedFlow at the next sync, and PriceLabs would not see your bookings.

Setting it up

  1. Create a PriceLabs account (or use your existing one).
  2. In BedFlow, go to Settings → Integrations → Pricing → PriceLabs and click Configure.
  3. Enter the email address of your PriceLabs account. PriceLabs links your rooms to the account with that address.
  4. Choose which rooms (or room types) take part. By default they all do, including rooms you add later.
  5. Optionally enter the location of your property (latitude and longitude). PriceLabs uses it to compare you with similar accommodation nearby.
  6. Switch on Take over PriceLabs prices and save.

Within a few minutes your rooms appear in PriceLabs. Set your base price, minimum and maximum price there and switch on the sync. From then on, prices come in by themselves.

Three choices BedFlow makes for you

1. The PriceLabs price leads

On a room priced by PriceLabs, BedFlow's multi-night discount (rate profile "Length of stay") is not added on top in your booking widget. PriceLabs handles discounts for longer stays itself; otherwise you would give the discount twice.

If you still want your BedFlow discount on top of the PriceLabs price, switch on BedFlow multi-night discount on top of the PriceLabs price in the tile.

Note: if you already sent length-of-stay discounts to Booking.com or Expedia as a separate rate, those stay there. If you want no extra discount there either, switch that rate profile off under Rates.

2. Price only, for now

For now BedFlow only takes over the daily rate from PriceLabs. You keep managing minimum stay and arrival or departure days in BedFlow, under Restrictions, as you are used to.

3. Switching off only removes the PriceLabs prices

If you switch the integration off, or untick a room, only the prices that came from PriceLabs disappear. Your channels and your widget immediately get your own prices again: base price, seasons and holidays. Prices you set manually yourself stay in place.

Then also switch off the sync in PriceLabs, otherwise PriceLabs keeps trying to send prices.

Good to know

  • Your own manual price wins. If you set a price on a day yourself (under Rates or in the calendar), that day is yours: PriceLabs does not overwrite that price, not even when you switch the integration off. If you clear your manual price, PriceLabs takes the day over again at the next sync.
  • Room types. If your property groups rooms by room type in the booking widget, PriceLabs sets one price per room type and it applies to every room of that type. Otherwise every room is a separate listing in PriceLabs.
  • Blocked days. If a day is blocked (by you, by an external calendar or by a combination room), its price does not matter: the day cannot be booked anyway. Once the day is free again, PriceLabs sets the right price at the next sync.
  • Whole euros. PriceLabs receives your current prices rounded to whole euros. The prices PriceLabs sends back are taken over by BedFlow to the cent.
  • Status. The tile shows when the last prices came in from PriceLabs, when BedFlow last sent data to PriceLabs, and the last error message if something went wrong.
