Cancellation insurance
Updated on 2026-10-28
Settings → My property → Cancellation insurance
You can let the guest tick a cancellation insurance when booking, for example 6.5% of the rental price. This feature is off by default. As long as you don't switch it on, nothing changes in your booking widget, emails or invoices.
Switching it on
- Open Settings → My property and expand the Cancellation insurance section.
- Switch on Offer cancellation insurance in the booking widget.
- Fill in the settings and click Save.
| Setting | What it does |
|---|---|
| Percentage | For example 6.5. Without a percentage nothing is offered. |
| Minimum premium | Optional. The premium is never lower than this amount. |
| What does the percentage apply to? | Rental price only (default): the price of the rooms or units. Or rental price and mandatory fees: also the extra person surcharge and mandatory products such as final cleaning. Tourist tax and optional extras never count. |
| VAT rate of the line | Default 0%. Ask your accountant which rate applies to your insurance. |
| Link to the terms | Optional. The guest sees the link below the checkbox. |
| Name and terms per language | Optional. Empty = "Cancellation insurance" in the guest's language, without extra text. |
What the guest sees
Among the extras in the booking widget there is a checkbox with the name, the amount and how it is calculated ("6.5% of the rental price"), your terms text and link, and a sentence saying the premium is not refunded on cancellation. When ticked, the premium is added to the total and as a separate line on the pro forma.
A discount code does not lower the premium: the premium is calculated on the full rental price and comes after the discount.
Adding or removing it later
On a booking's page you find Add cancellation insurance and Remove cancellation insurance. BedFlow updates the pro forma; payments already made stay and the difference becomes the outstanding balance.
This is not possible:
- on a booking via a channel (Booking.com, Airbnb, ...): the price comes from the channel;
- after the final invoice: create a credit note and a new invoice instead;
- on a cancelled booking.
On cancellation
The premium itself is never refunded. In Cancel booking it is deducted from what can be refunded, even if you change the amount yourself. A cancellation fee (for a late cancellation) applies to the stay, not to the premium. If you still want to refund the premium, remove the insurance before cancelling.
Switching it off
Switch it off and save. The widget no longer shows the checkbox. Bookings that already have insurance keep it.
