ЕСТИ (Bulgaria, guest register)

In Bulgaria, every hotelier must record guests in a register (art. 116 Закон за туризма). This has to happen "незабавно при настаняването": immediately at check-in. For class A and B this is electronic, through ЕСТИ (Единна система за туристическа информация) of the Министерство на туризма.
The ЕСТИ tile only appears for a property in Bulgaria and is off by default.
What BedFlow does, and what it does not do
BedFlow does not send anything to the ministry automatically. Automatic exchange ("система–система") is not possible yet: the protocol is not public. BedFlow is therefore not the statutory register, and the duty to register stays with you.

Setup
- Open the ЕСТИ tile with Configure and turn on Enable the ЕСТИ register. Guest registration is switched on as well, because that is where the data comes from. See Guest registration.
- Enter the UIN / property number. You will find it with your property in ЕСТИ and in the Национален туристически регистър. Each property has its own number.
- Under Floor per room, enter the floor of each room. 0 is the ground floor.
- Click Save. ЕСТИ register appears in the menu.
Submission method shows File: upload to ЕСТИ yourself. Система–система cannot be selected yet.
While the tile is off, nothing changes in your forms. A property outside Bulgaria sees none of this.
What your guests fill in
While ЕСТИ is on, the guest form and the reception entry ask for these details, in the guest's language. The Belgian national-number alternative disappears, and so does the place of birth.

The groups follow art. 116 ал. 5 т. 1 and т. 2 of the Закон за туризма. As document type the guest chooses identity card, passport or driving licence. An ЕГН or ЛНЧ is validated with its check digit. BedFlow also asks whether the stay is a tourist package, and does not store scans of documents.
At reception
If a guest does not use the guest portal, complete the registration from the booking with Fill in registration. The fields are the same. For a booking with several rooms, you also choose the room of each person here. BedFlow does not guess: without a choice, the room stays listed as missing.
The register per guest
You see this screen with write access to Bookings & calendar, because the file contains identity numbers.
ЕСТИ register in the menu shows every guest per day or per period, with a status:

The moment of check-in is the Check in button, or otherwise the start of your check-in time on the arrival day.
Creating and uploading the file
- Choose the day or period in ЕСТИ register. The period refers to the arrival date.
- Leave Only guests not yet in a file on, so you upload nobody twice. Turn it off to create a file again.
- Click Download Excel or Download CSV.
- In the ЕСТИ web form, choose Прикачи ексел файл or Прикачи CSV файл and upload the file.
The file is in Bulgarian, with these columns: УИН на обекта, Данни за, Гражданство, Име, Презиме, Фамилия, Пол, ЕГН/ЛНЧ, Дата на раждане, Вид документ, Номер на документ, Дата на издаване, Дата на регистрация, Дата на пристигане, Дата на отпътуване, Етаж, Стая, Средна цена на нощувка, Туристически пакет.
Check this against a real template. The ministry's official template is not public. The columns follow the fields of the web form in the ministry's manual, supplemented with the law. If ЕСТИ rejects the file, send us the error message or an example that works: the format lives in one place and is quick to adjust.
When details are missing
If a guest has been checked in for half an hour and something is missing, you get one notification in your own language (Telegram or the app), with the guest's name and what is missing. This also applies when the whole registration is missing. Complete it through Fill in registration or let the guest do it: the status changes by itself.
Changing something after uploading
If something changes after the guest was in a file (the registration, the departure date, the room, or the booking is cancelled), that guest shows Update in ЕСТИ. Change it yourself in the web form and then click Updated in ЕСТИ on that row.
Automatic submission
The law provides for a direct exchange, but the protocol is not public and the hotel must apply for it per property with the ministry, with a qualified electronic signature (КЕП). Until that exists, everything goes through the file.
Not yet confirmed by the ministry
These points cannot be settled from the law and the manual. BedFlow takes the broadest safe reading:
- Children: they are in the register, without a required document. The ministry does not say whether or from what age they must be included.
- "Административен идентификатор" for other EU citizens: only required for Bulgarians.
- Average night rate: the night rate of the room, not per person.
- "Незабавно": whether one file per day is enough has not been confirmed. Upload after each batch of arrivals if in doubt.
