Room types with several rooms

If you have several rooms of the same type — a hotel with 27 identical double rooms and 3 suites — your guest should not see 27 cards "Room 201 … 227". With Group room types your booking page shows one card per type with "3 left", the guest picks how many rooms, and BedFlow assigns the room by the rule you set.

Without this setting nothing changes: one card per room, as always. A B&B with five different rooms or a holiday home has nothing to do here.

Setting it up

1. Go to Settings → My property, section Booking widget behaviour.
2. Switch on Group room types in the widget.
3. Under Assign a room on booking choose how BedFlow picks a room (see below).
4. Open each room type and, under Basics → Rooms of this type, fill in the floor and, if you like, an own order per room. Both may stay empty: then they have no effect.

From then on the booking page shows one card per room type. The card carries the name of the room type (not the room number), the type's photos and the lowest price of the free rooms.

The five assignment rules

Every rule only considers rooms that are free, pass the restrictions, fit the guests and have the price the guest saw on the card. If one room of the type has a higher price (a calendar override), the guest is never assigned that room — they never pay more than they saw.

What the guest sees

• One card per room type with "3 left" (red at 1 or 2, otherwise green). The number is the minimum over all nights of the stay.
• After selecting, a counter Number of rooms of this type, capped at what is free. With two or more rooms the number of adults applies per room.
• The type's rate options sit on the type card as usual.
• A line "The hotel assigns your room when you book. The room number is in your confirmation."

The confirmation mail, the pro forma and the guest portal show the assigned room by its own name — so give rooms their number as public name (201, 202, …) and the room type the name the guest chooses (Trendy, Suite).

In the room grid

With the setting on, the room grid gets a grey group row per room type above its rooms, with a chip free / total per day (green at 3 or more free, amber at 1 or 2, red when full). Click a chip to book a room of that type on that day — BedFlow opens the quick booking on the first free room. The arrow collapses a type: the room rows disappear, the group row stays. A thirty-room hotel becomes three lines. At the bottom a row Occupancy per day shows the percentage of booked rooms. BedFlow remembers per user which types are collapsed. Room types with one room get no group row; without the setting the grid does not change.

On the booking

The room block of the booking shows, for every automatically assigned room, Assignment: Assigned automatically (evenly). Want to give the guest another room? Click Change room at the top: you get the free rooms of the same type for those dates, floor included. Moving within the type changes nothing about the price, the rate option or the mails — only the room number. Moving to another type works as always via Move to room, with repricing.

The room type form

With the setting on, occupancy, price, meal plan, cancellation policy and check-in times of the room type apply to all rooms of the type. If you save the room type while rooms differed, BedFlow tells you how many rooms were aligned. Name, public name, active and the Channex link stay per room.

Frequently asked questions

Two rooms of the same type in one booking? Yes. The guest sets the counter to 2, BedFlow assigns two different rooms in one go. If only one is left by then, the booking does not go through and the guest is told — never half a booking.

What about Booking.com and the other channels? They do not change. Every room keeps its own Channex room type, as today. One Channex room type with a count per type (so Booking.com shows "3 rooms left") is a separate step for new hotel customers.

I do not see the section "Rooms of this type". It only appears once Group room types is on for your property.

Chose a floor rule but no floors filled in? Then the rule works as "own order". Rooms without a floor come last.
