Connecting Expedia and Vrbo to BedFlow
Settings → Integrations → Channels → Expedia or Vrbo
Expedia Group has two tiles in BedFlow:
- Expedia — for accommodations in Expedia Partner Central. Your inventory appears on Expedia.com and Hotels.com. You connect with your Property ID (EID).
- Vrbo — for holiday homes with their own Vrbo account. You connect by logging in with your Vrbo details, in a secure window within BedFlow.
Which one you need is explained at the bottom, under Expedia or Vrbo?.
Connecting Expedia
The flow is similar to Booking.com's, but Expedia confirms more slowly — allow 24 to 48 hours before the connection is live, sometimes a little longer if they have to check it manually.
Prerequisite: you have an active Expedia Partner Central account for your accommodation. Don't have one yet? Apply via expediapartnercentral.com and wait until Expedia has approved your listing. In BedFlow you have at least one room with a base price.
What do you need?
| Item | Where to find it |
|---|---|
| Expedia Property ID (EID) | A 7- or 8-digit number, in Partner Central → Account → Property Details |
| Login for apps.expediapartnercentral.com | Your Partner Central account email and password |
| Access to your Partner Central account's email address | Expedia sends the confirmation by email |
Step 1 — Look up your Property ID (EID)
-
Log in to apps.expediapartnercentral.com.
-
At the top left, click the name of your accommodation — if you have several, choose the right one.
-
In the left-hand menu, go to Account → Property Details.
-
At the top, next to the name of your accommodation, you see your Property ID (also called EID), e.g.
12345678.Alternatively: the EID is also in the web address of your Partner Central dashboard, after
htid=. -
Copy this number.
Step 2 — Enter the EID in BedFlow
- In BedFlow, go to Settings → Integrations.
- In the Channels category you'll find the Expedia tile. Click Settings.
- In the Channel connection section is the field Expedia Property ID (EID). Paste the number from step 1 here.
- Click Save.
The Connect in Channex button now appears next to the onboarding status. Click it.
Is this your first channel? Then BedFlow puts your accommodation on the channel manager itself at that moment, with your room types and prices, and switches on Expedia and all your active rooms so that you can link them in the next step.
Step 3 — Go through the connection window
A Channel connection window opens within BedFlow, with the connection form of the channel manager Channex. It has three tabs:
- General Settings — Channel = "Expedia", Title = "Expedia", Currency = EUR (or your accommodation's currency). Click Save.
- Mapping (required) — for each BedFlow room, choose the corresponding Expedia room type. Save.
- Channel Settings — check and save.
At the bottom, click Done — close and refresh status. BedFlow finds the connection and switches it on; the status becomes Waiting for confirmation via the OTA extranet. If you forget that click, BedFlow links it automatically within a few minutes.
Step 4 — Expedia confirms
Unlike Booking.com, where you confirm in your extranet, Expedia approves the connection on their side. Allow 24 to 48 hours, sometimes longer in busy periods. In the meantime you can simply carry on working in BedFlow; nothing goes to Expedia yet.
As soon as the connection has been approved, you get a confirmation email from Expedia. No email after 48 hours? Email support@bedflow.eu with your Property ID — we'll ask for the status.
Step 5 — Check the status and room mapping
- Open Settings → Integrations → Expedia → Settings again. The Onboarding status shows Active — your channel is live. Still waiting after 48 hours? Click Refresh status or contact us.
- Scroll to Room mapping and, for each BedFlow room, choose the corresponding Expedia room type in OTA room.
- Switch on Active for every room you want to offer on Expedia and click Save.
BedFlow starts a first synchronisation (up to 5 minutes for large accommodations) and sends your availability and prices for the next 365 days.
Connecting Vrbo
For Vrbo, no number is needed. You log in with your own Vrbo details, without leaving BedFlow.
- Go to Settings → Integrations and click Settings on the Vrbo tile.
- In the Channel connection section, click Connect with Vrbo.
- A secure window opens within BedFlow. Enter your Vrbo login (username and password).
- In the same window, link your house(s) to the right rate (Mapping tab).
- Click Done — close and refresh status. If you like, click Refresh status as well to see the new status straight away.
The same applies here: if Vrbo is your first channel, BedFlow first puts your accommodation on the channel manager itself. To relink a house or add one later, use the Map rooms button.
What happens after activation?
| What happens in BedFlow | Effect on Expedia and Hotels.com (or Vrbo) |
|---|---|
| New booking via your website or entered manually | The room closes for those nights |
| Price changed under Management → Rates | The new price appears within about 30 seconds |
| Room blocked on Daily → Availability | No longer bookable |
| New booking via Expedia, Hotels.com or Vrbo | Comes into BedFlow and appears in your calendar with a proforma; the channel is shown on the booking |
Frequently asked questions
Expedia or Vrbo — which tile do I need? If your accommodation is in Expedia Partner Central, use the Expedia tile: it reaches Expedia.com and Hotels.com. If you have a holiday home with its own Vrbo account (logging in on Vrbo itself), use the Vrbo tile. Not sure, or want to use both for the same house? Check with us first via support@bedflow.eu.
Do I need to connect Hotels.com separately? No. The Expedia connection also sends your inventory to Hotels.com. You don't manage them separately.
What is the commission? Expedia typically charges 20% commission (Booking.com 18%). The default Divisor for Expedia is therefore 0.80: BedFlow divides your price by 0.80, so that you still end up with your own price after their commission. For Vrbo the default is 0.85 (about 15%). You adjust the divisor in the tile's Commission section.
My EID starts with a letter, is that OK?
Some older accommodations have an EID such as H12345678. Paste it exactly as it appears in Partner Central.
What if I change my Partner Central password? No consequences for BedFlow: the Expedia connection doesn't run through your login.
The confirmation has been taking 5 days. What now? Email support@bedflow.eu with your Property ID and a screenshot of the status in BedFlow. On our side we can see whether the request is stuck at Expedia or with us.
Need help?
Email support@bedflow.eu, including the name of your accommodation in BedFlow. On our side we can check the status of the connection and see straight away where it gets stuck.
