Fatture in Cloud (Italy — electronic invoice via SDI)

Anyone in Italy with a partita IVA invoices electronically: every invoice is an XML file (FatturaPA) that goes through the Sistema di Interscambio (SDI) of the Agenzia delle Entrate. BedFlow does not do this itself but through your own account at Fatture in Cloud. You remain the issuer, the numbering is that of your account, and your commercialista sees everything where they are used to.

Who it is for

The integration only appears for a property in Italy whose Tax regime (Italy) is set to Business with partita IVA (invoice). You find that choice on your property under Location & contact.

If you rent out as a private individual without a partita IVA, you do not issue an electronic invoice: your guest receives a ricevuta. See VAT and tourist tax.

What the integration does

  • One fattura elettronica per stay, automatically on full payment or at check-out (configurable), including bookings where Booking.com or Airbnb collects the payment.
  • Every invoice line with its own VAT: IVA 10% on the stay and breakfast, 22% where that applies (for example parking).
  • The imposta di soggiorno as a separate line outside VAT, with the Natura code you choose (N1 by default).
  • XML check before sending: Fatture in Cloud checks the file, and only then does it go to the SDI.
  • SDI status: BedFlow follows the outcome. Once the SDI accepts the invoice, your guest receives the PDF as a copy, in their own language. If the SDI rejects it (scarto), you get a notification with the reason and the solution.
  • Nota di credito when an invoiced stay is cancelled, referring to the original invoice.

What you need

  1. A Fatture in Cloud account with the electronic invoicing module (fatturazione elettronica). Without that module, Fatture in Cloud cannot send anything to the SDI.
  2. In that account, your company details, your partita IVA and your tax regime, as your commercialista set them up.
  3. The VAT codes you need: 10%, and a 0% code with Natura N1 (or the Natura your commercialista prefers) for the imposta di soggiorno. A forfettario needs a code with Natura N2.2.

Step 1 — Connect

Open the tile and choose how to connect:

  • Sign in to Fatture in Cloud (recommended): click Connect to Fatture in Cloud at the top, sign in and give BedFlow permission. BedFlow only asks for what it needs: creating invoices and credit notes, and reading your settings.
  • Personal token: in Fatture in Cloud, create a token under Impostazioni → App e integrazioni with the permissions Fatture (scrittura), Note di credito (scrittura) and Impostazioni (lettura), and paste it into BedFlow. The token is stored encrypted.

Step 2 — Test the connection

Click Test connection. BedFlow:

  • looks up your company (if your account has more than one, for example with a commercialista, enter the company ID);
  • reads your VAT codes and shows them under VAT codes of your account;
  • subscribes your property to the SDI status notifications.

If a VAT code is missing, create it in Fatture in Cloud and test again.

Step 3 — Tax details

  • Tax regime: RF01 (ordinary) or RF19 (forfettario).
  • VAT on the stay: VAT per line for an ordinary regime, or without VAT for a forfettario. Above €77.47, a forfettario invoice carries the €2 marca da bollo (bollo virtuale), not counting the imposta di soggiorno.
  • Natura code for the imposta di soggiorno: N1 by default (escluse ex art. 15). Some commercialisti choose N2.2. Ask yours.
  • Series (sezionale): for example /B, if you want the stays in a series of their own. Empty is the default series.
  • Payment method on the invoice: for example MP08 (payment card) or MP05 (bank transfer).
  • Account in Fatture in Cloud (optional): if you fill it in, the payment shows as paid on the invoice right away.

Step 4 — Test document

With Test document, BedFlow creates a €1 invoice, has the XML checked and deletes it right away. Nothing is sent to the SDI. That way you know everything is right before you activate.

Step 5 — Activate

Choose when BedFlow invoices (on full payment or at check-out) and switch on Send electronic invoices automatically. That is only possible once the connection works and the VAT code for the stay is known.

Customer details

The SDI wants to know who you invoice:

Customer What goes on the invoice
Italian private individual Codice fiscale (required) and codice destinatario 0000000. The invoice is in their area on the Agenzia delle Entrate website.
Italian company Partita IVA (required), plus its codice destinatario or PEC. If it has neither, 0000000.
Customer outside Italy No codice fiscale needed. Codice destinatario XXXXXXX; the guest receives the PDF from BedFlow.

You enter these details on the customer record or in the booking form under Invoice to: for an Italian property with partita IVA, the fields Codice fiscale, Codice destinatario and PEC address appear there. BedFlow checks the control character of the codice fiscale and of the partita IVA.

Channels such as Booking.com do not pass on the codice fiscale. If it is missing for an Italian guest, BedFlow parks the invoice and sends the guest a mail once with a secure link (valid for 30 days). There, the guest chooses private individual, company or outside Italy and fills in their details. As soon as they do, the invoice goes out by itself. The page and the mail are in the guest's language.

Status and rejection

After sending, BedFlow follows the status at the SDI, through the Fatture in Cloud notifications and once more every morning as a safety net. As soon as the SDI accepts the invoice, BedFlow saves the PDF and mails the guest a copy (copia di cortesia). For a private individual, the SDI reports that it could not deliver the invoice (mancata consegna): that is normal, the invoice has been issued.

If the SDI rejects the invoice, it appears among the parked documents with the reason and the solution from Fatture in Cloud, and you get a notification (also via Telegram). Correct the invoice in Fatture in Cloud and send it again from there. BedFlow sees the new status and then still delivers the copy to the guest.

Cancellation

If you cancel a stay that has already been invoiced, BedFlow creates a nota di credito for the full amount, with the same lines and VAT codes as the invoice and a reference to the original number. In that case BedFlow does not create a second credit note of its own.

Frequently asked questions

Which Natura code belongs to the imposta di soggiorno? The imposta di soggiorno is outside VAT: you collect it on behalf of the municipality. BedFlow uses N1 by default (art. 15 DPR 633/72). Some commercialisti prefer N2.2. Check with yours and change it in step 3.

Do I still need corrispettivi (documento commerciale)? Not for the stays you issue an electronic invoice for. If you also sell at a bar or in a shop with a till, those corrispettivi still apply. BedFlow does not handle them yet.

The guest paid through Booking.com. Whose name is on the invoice? The guest's, for the full amount they paid. The channel's commission is separate from that.

Does this also apply to my property outside Italy? No. The tile only appears for a property in Italy with partita IVA. For Portugal there is InvoiceXpress, for Belgium Connecting your accounting.
