  1. Housekeeping per property

    If you run several properties, you now set the housekeeping module and the time of the daily message to your cleaning staff per property, under Settings → Integrations and Daily → Housekeeping schedule. The housekeeping portal follows that property's check-in and check-out times.

  2. User guide rewritten

    The user guide has been reworked: every article now follows the menus and screens as they are in BedFlow today. New articles cover, among other things, the room overview, checking in and out, the Getting started step-by-step plan, your accounting connections and the figures under Insights. Every item on this page links to the explanation.

  3. Mobile number automatically via the Booking.com chat

    When Booking.com does not pass on a mobile number, BedFlow now asks for it in the Booking.com chat, in the guest's language, with one reminder the day before arrival. When the guest replies with their number, BedFlow takes it over and the messages go by WhatsApp again. Guests from a channel now also receive their emails in their own language.

  1. Arrivals and departures by weekday

    Under Management → Insights → Weekdays you see on which weekdays your guests arrive and leave, per month, quarter or season. The what-if simulator calculates what it costs to stop allowing arrivals on a given day.

  2. Multiple locations in one account from Pro

    Multi-property was only in the Hotel plan. From Pro you can now also manage a second B&B or a few holiday homes at other addresses in the same account.

  3. Our own icons instead of emoji

    BedFlow, the app and your guest page use the same icons of our own everywhere, instead of emoji that look different on every device. In the room overview every booking now shows as a single rounded bar.

  4. Discount with an overnight stay, per product

    The €20 wellness discount with an overnight stay was fixed on every wellness product of every property, including the bathrobe and the extra person. Now you set per product how much discount it gets when the guest books it with a room; quote, booking and website charge the same amount.

  5. Booking.com guests without a mobile number

    From 28 September Booking.com no longer passes on the mobile number. The confirmation and pre-arrival e-mails ask the guest to leave their number on the guest page, which has a field for it at the top. Without a number the welcome message with the links goes through the Booking.com chat, and if that fails too, BedFlow asks for the number at check-in.

  6. Discount code on certain nights only

    For a discount code on overnight stays you tick which nights it applies to, for example Sunday to Thursday. If the guest books a full week, the discount only applies to those nights; the widget shows on how many nights, and the invoice charges the same amount.

  7. Postpaid customer: paying by bank transfer on invoice

    On the customer record you tick that a customer pays by bank transfer. When they book through the website (matched by the e-mail address on the record, no duplicate customer), they get no online payment button and no payment deadline, the confirmation e-mail says the invoice follows, and at check-out "register as paid" is off by default.

  8. App 1.4.2: the check-out sheet fits an iPhone again

    The sheet could grow wider than the screen and scroll sideways; swiping right tapped Confirm by accident. The sheet never scrolls sideways anymore, long texts wrap.

  9. Check-out: other bookings of the customer are no longer ticked by default

    When checking out a customer with another open booking, that booking was pre-ticked, so a balance got registered as paid while "Record payment" was off. Settling it is now a deliberate tick per booking, on the website and in the app.

  10. Room guests: their own language, and the guest before the booker

    Per room guest you pick the language of the messages (or automatic via the number's country code), the booker only receives the messages for rooms without their own guest, and the tile shows the booking's guest and their WhatsApp number instead of the payer. With a single room you can set a guest other than the booker the same way.

  11. Guests per room, with their own WhatsApp number

    When someone books several rooms for others, click the N rooms chip on the tile and enter per room the name and WhatsApp number of the person actually staying. They then appear on the tile, each with a WhatsApp button, and the welcome message, door codes and pre-arrival message now also go to them, with their own first name.

  12. Bancontact on the phone: the app opens with one tap

    A guest paying on their phone was sent to the Bancontact web page, where the link to their Payconiq app did not open; every attempt expired after two minutes. The payment page now keeps a mobile guest with it: a button that opens the Bancontact or Payconiq app, a QR to scan with another device, the web page as fallback, a counter showing how long the link stays valid and a button for a new link. As soon as the app confirms, the page jumps to the confirmation by itself.

  13. The wellness session time shows everywhere, and moving it really works

    The confirmation e-mail for wellness + overnight stay said "your session is scheduled" without a time, and the Want to change the time? link showed a calendar starting today without the current slot. Now day and time live on the proforma (the single source), in the e-mail, on the guest page and on the wellness page; that page opens on the day of the session, with the stay's days selectable and the current time marked. Moving shifts the same calendar event (no more second event), with an e-mail for the guest and a Telegram for you.

  14. Invoice to, on the booking itself

    The booking now shows who is invoiced (customer, VAT number, address, e-mail, phone) as it appears on the invoice, and you change it right there. Saving stores it on the customer, the only place; the booking's e-mail and mobile follow.

  15. App 1.4.1: the check-out screen, on your phone too

    Check out in the app now opens the same intermediate screen as on the website: record the outstanding balance with the payment method (including Bancontact QR and the card held by the channel), convert the proforma into a final invoice, e-mail the invoice (with the address shown) and settle other open bookings of the same guest. One-tap check-out without those choices is gone.

  16. One place for customer details

    If you change a customer's e-mail address, mobile number or name, via the guest name on Daily → Availability or on the customer record under Management → Customers, the change also goes to that customer's open bookings. Useful for Booking.com and Expedia guests: enter the real address just before check-out and the invoice goes there, no longer to the channel's alias. A booking with a deliberately different address is left alone.

  17. Gift voucher e-mailed right away, with invoice

    A gift voucher you create yourself goes to the recipient straight away or on the chosen day, and you resend it with Send to guest. Anyone who buys a voucher also gets the invoice right away. It becomes final on payment and is offset when the voucher is used, so the revenue counts only once.

  18. Connecting Booking.com: BedFlow sets everything up

    When you connect your first channel, BedFlow sets up your property on the channel manager itself, with your room types and prices, and switches on the channel and all your active rooms. You no longer need to enter any keys or codes from the channel manager.

  19. Cancel wellness from the list

    Cancel a wellness session straight from Daily → Bookings → Wellness bookings. The time slot becomes free again and nothing is invoiced; if something was already paid, you see how much.

  20. App 1.4.0: templates and quick inserts in the inbox

    Above the reply box of a conversation you now find the same tools as in the web inbox: a sheet with your templates, already filled in for the guest with the matching ones on top, and quick inserts (first name, guest page, arrival, address, wifi, …) that paste their value at the cursor. No more retyping.

  21. Room types with several rooms

    A hotel with 27 identical rooms now shows one card per room type with "3 left"; the guest picks how many rooms and BedFlow assigns the room by your rule: own order, evenly (least-booked room), random, fill floor by floor or spread across floors. In the room grid each type gets a group row with the number of free rooms per day, collapsible to a three-line hotel view, plus an occupancy row per day. The booking shows how the room was chosen, with a Change room button for another room of the same type. You switch it on per property under Settings → My property; without the setting nothing changes.

  22. Breakfast and cancellation policy visible in the widget

    The room card now shows the room's meal plan ("Breakfast included", half board …) and the practical info shows the real cancellation policy: late cancellation with a charge says so, non-refundable says so. Properties with flexible cancellation and no meals see no difference.

  23. Rate options on your own booking site

    Several rates per room type, e.g. "Standard with breakfast" and "Hot deal — no breakfast, non-refundable", each with its own price difference, meal plan and cancellation policy. The guest picks in the room card; the choice appears in the overview and on the booking. Largest discount wins (option or length of stay, never both); non-refundable means full payment upfront. Without options nothing changes.

  24. Add channel under Settings → Integrations

    The 130 booking channels are not all tiles by default, but they can now be added: click "Add channel" at the top of Channels, search e.g. Hotelbeds, Reconline or Trip.com and the tile appears with the usual connection steps (property ID, Connect in Channex, mapping). OpenGDS partners point to the OpenGDS tile. The step plans on bedflow.eu/integraties/… now match what you see in BedFlow.

  25. 150+ integrations, each with its own page and step plan

    The website said "10+ integrations", while BedFlow reaches 130 booking channels through Channex and OpenGDS, plus twenty-odd direct integrations. The number is now counted from a single catalogue, every integration has a landing page (e.g. bedflow.eu/integraties/natuurhuisje) with, for channels, a step plan you follow yourself: account with the partner, agree the partnership, connect, set your price.

  26. Revenue per booking channel

    On Management → Insights → Statistics you see per channel how many bookings and how much revenue it brings in, with the average per booking and per room night, next to last year. That shows you whether a guest via Booking.com spends more or less than someone who books direct.

  27. App 1.3.9: the Watch follows your property selection

    The Apple Watch now shows only the properties you ticked under Settings in the BedFlow app, just like your phone. Without a selection the Watch shows nothing and tells you where to make one.

  28. Support included on every plan

    Asking questions and reporting bugs is now unlimited and free, Micro included. No more counting tickets, the Premium Support add-on is gone. Only work we do on your behalf (set up, enter, adjust) is charged as hands-on work (€9 per ticket), and we always say so first in the ticket. The pricing page now shows the measured reply and resolution times of the last 90 days instead of a promise.

  29. App 1.3.8: BedFlow on your Apple Watch

    Turn the crown, see who still has to check in or out today, and tap the one button next to the guest. No separate sign-in: open BedFlow on your iPhone and your Watch is signed in too.

  30. Last arrival time on the channels too

    The closing time of your booking page can now also close the OTAs. With Also close today on the booking channels switched on, today closes for arrivals at Booking.com, Airbnb, Google and the rest as soon as that hour has passed. No more evening bookings for a night when nobody can check in any more. Someone calls anyway? Reopen the day under Management → Rates → Restrictions.

  31. No-shows no longer sit under "In house now"

    A guest who should have arrived yesterday and was never checked in gets their own "No-show" group in the app instead of standing among your guests, with a button to check them in after all. Only on properties that actually use the check-in button.

  32. Bancontact QR in the app

    Behind the payment button on a booking there is now "Let the guest scan": BedFlow creates a Bancontact payment for the outstanding amount and shows the QR full-screen. The guest scans with their banking app, and the screen closes by itself once the payment arrives. Only shown for properties where Bancontact is switched on.

  33. SIBA filing for Portugal

    Every foreign guest is reported automatically to the Portuguese UCFE (Boletim de Alojamento), within the legal window of three working days after arrival. The details come from the guest registration your guests fill in themselves; Portuguese guests are skipped, one incomplete guest doesn't hold up the rest, and anything about to run past the deadline is shown to you. Set it up through the SIBA tile under Settings → Integrations.

  34. The full WhatsApp conversation, and by e-mail too

    Under Daily → Messages you now also see what you replied directly in WhatsApp on your phone, plus the photos and attachments guests send. With the Also by e-mail tick box your reply goes out as an e-mail as well, handy for a guest without WhatsApp.

  35. Extra person surcharge, per room

    A per-person surcharge (category Surcharge) only counts the people above 2, and it does so per room. A group in rooms of 2, 3 and 2 people thus pays for 1 extra person, not for 5.

  36. Honesty bar: guests correct themselves

    Tapping a product that is already on the bill opens a window with plus, minus and the current count instead of silently adding one. Guests who made a mistake had to call you. Every correction lands in the property's Telegram channel, recognisable and with the new count.

  37. Smart locks get their own notification switch

    Door notifications sat under "Other notifications" and now have their own entry under Settings → Notifications on this device, off by default. A new device (or a new app version) now inherits your existing choices instead of starting all-on again.

    The notification list sits next to Today, Rooms and Calendar with the unread count, and tapping a push notification always lands somewhere: on the booking, the conversation or the ticket, otherwise on the list itself.

    On the guest card and the booking detail you set the breakfast time per morning (or no breakfast), with the same list as on the website; under Wellness on Today you add an extra (cava, bathrobes, …) to the wellness proforma with one tap, total recalculated.

  40. App 1.3.1: fair statistics and a correct icon badge

    The current month now compares up to the same day with last year instead of with the whole month (with the counting rule under the month title), and the number on the app icon follows the notification list even while the app is open.

  41. Last-minutes on Relaxy

    Your free wellness slots automatically appear as last-minutes on relaxy.be (preferred times, days ahead and discount configurable) and disappear there as soon as they are taken on your side. Bookings on them go through the same payment link from you.

  42. Relaxy connection for wellness

    A request on relaxy.be automatically becomes a wellness reservation on your side, with a payment link by e-mail and WhatsApp. The guest pays you, never Relaxy; anyone who does not pay loses the slot automatically, and a withdrawn request frees it up again. Set it up via the Relaxy tile under Settings → Integrations.

  43. Google channels from Starter

    Google Hotel Ads and Google Vacation Rentals are now part of Starter and up. On Seizoen and Micro the Google tile under Settings → Integrations is locked, with a button to upgrade; the pricing table and the user guide now say so too.

  44. Notification list in the BedFlow app

    Everything that came in as a notification is now also in the app under Notifications, with a badge for what you have not seen yet (also on the app icon). Tap it and you are at the booking, the conversation or the ticket; clear them once you have seen them. The same list on all your devices, kept for sixty days.

  45. Push notifications in the BedFlow app

    A notification on your phone for a new booking, a changed booking, a cancellation, a received payment, a new guest message and an update to your support ticket, even when the app is closed. Tap it and the app opens the booking, the conversation or the ticket right away. Which notifications you want is up to you, per device (fewer on your iPad than on your iPhone, if you like), under Settings → Notifications on this device. Works on Android and on iPhone/iPad.

  46. Paid via Booking.com, and recording the payout

    A booking the guest already paid to the channel now shows the green label Paid via Booking.com instead of an outstanding amount. When the channel pays you out later, choose the payment method OTA payout under Record payment, and the balance goes to zero.

  47. Permissions per staff member

    Under Settings → Administrators you decide per user which parts of BedFlow they see. With View only they cannot change anything, handy for an accountant or a co-owner who just wants to keep an eye on things.

  48. Statbel export per property

    The monthly Statbel export now arrives per property in that property's Telegram channel, ready to upload. You request a previous month yourself with the Statbel export button on Management → Insights → Statistics. Only for properties in Belgium.

  49. BedFlow app in the App Store

    The app for iPhone and iPad is now simply in the App Store, alongside Google Play for Android. Search for BedFlow and log in with your regular account.

  1. Combined units

    Sell a gîte or holiday home as a whole and as individual rooms at the same time. When someone books a room, the whole closes automatically — and vice versa — on your booking page, in the calendar and on all connected channels. With its own price and minimum stay for the whole, correct housekeeping planning and occupancy figures, and a notification on the rare double-sale race.

  2. Bar QR: scan and pay for drinks

    Hang a QR card on your fridge or bar: guests and passers-by choose their drink and pay straight away with Bancontact, or an overnight guest puts it on their room bill. You get an invoice for every sale. Set it up via Settings → Integrations → Guest experience → Bar QR.

  3. BedFlow app for Android live

    Version 1.0.1 is on Google Play, available in 177 countries. Arrivals, room grid, calendar, housekeeping, invoices and payments on your phone; log in with your regular BedFlow account.

  4. iPhone and iPad via TestFlight

    Version 1.0 has been submitted to Apple; if you don't want to wait, you can already test via TestFlight. Request an invitation via support.

  5. Support tickets carry the answer with them

    The answer to your ticket is now included in full in the email itself, attachments and all, instead of just a link to the portal.

  6. Floating booking button for your own website

    With a single line of code every page of your website gets a button that lets visitors pick their dates and go straight to your booking page. You find the code, the switch and the position under Settings → My property, section Website & booking page.

  7. (Re)sending a single guest e-mail

    With Send email on a booking you send any automated e-mail right away, for example the confirmation as soon as you have the guest's e-mail address. You can change the address without changing the booking.

  8. Filling in the guest registration yourself

    If a guest does not fill in their registration themselves, for example a walk-in, you do it on the booking with Fill in registration, even after they have left. Since 30 September a label on today's tiles shows whether the registration is already in order.

  9. Payment reminder just before the payment deadline

    New properties get a reminder by default 24 hours before an unpaid booking expires. If you have an older account, add it yourself under Management → Messages → Automated messages, with the trigger X hours before the payment deadline.

  10. Setting up Telegram without the technical fuss

    On the Telegram tile under Settings → Integrations, BedFlow finds your chat ID itself with the Find my chat ID button. With Send test message you see straight away whether the notifications arrive.

  11. WhatsApp for every guest, on the arrival day too

    The message two days before arrival now goes to every guest with a mobile number, including bookings from Cubilis or Hostaway. If your welcome e-mail on the arrival day is switched on, a welcome WhatsApp follows at 09:05 as well.

  12. Checklist for your cleaning team

    Your cleaning team ticks off per clean what was checked or topped up, with quantities and photos, via their usual portal link. You get a summary via Telegram straight away. You put the checklist together under Daily → Housekeeping schedule.

  13. Booking window applies on your channels too

    How far ahead guests may book now also applies on Booking.com, Airbnb and your other channels: the nights beyond that limit close there, and the limit moves along every day. You set it in the Booking Widget under Settings → Integrations.

  14. Internal note on a booking

    Jot something down for yourself and your team, for example "arriving late" or "nut allergy". The note shows as a small yellow line on today's tiles and in the house-manager digest; the guest never sees it.

  15. Price per number of guests on your own site too

    Your occupancy prices (for example cheaper for one person) now also apply on your own booking site and to direct bookings. You set them under Settings → My property, section Occupancy prices, or per room under Settings → Room types. If you leave them empty, every occupancy pays the base price there.

  16. Breakfast times per property

    Under Settings → My property, section Meals, set your breakfast times for weekdays and for the weekend. On their guest page the guest can then only choose from those times.

  17. Wifi in one place, with a QR card

    Enter your wifi once under Settings → My property, section WiFi. Your e-mails, your guest page and your messages use the same details, and you can download a QR card from it to print.

  18. Automatic check-out after departure

    Every night BedFlow automatically marks bookings whose departure day has passed as checked out. Nothing is recorded, invoiced or e-mailed in the process. If you don't want this for your property, just ask support.

  19. Setting your own deposit

    Under Settings → Deposit you decide what a guest pays when booking: a percentage, a fixed amount, the first night or nothing upfront, and within what period. Your booking module, the payment page and the confirmation e-mail follow that setting.

  20. Seeing what your subscription includes

    A module that is not in your subscription stays in the menu with the Upgrade label. Click it to read what it does and from which subscription it is available.

  21. Gift vouchers exactly the way you want

    Choose which kinds of vouchers you sell, with their amounts and validity, and sell them on your own website with an embed code. Set it up via Settings → Integrations → Guest experience → Gift vouchers.

  22. Booking module per unit, with a closing time

    Under Settings → Integrations → Guest experience → Booking Widget → Configure, tick a single unit and you get the code for a calendar with only that unit. In the same window you set a closing time or a preparation time, so nobody books late in the evening for that same night.

  23. Legal pages and guestbook on your website

    Under Management → Website → My website you put your disclaimer, privacy statement and cookie policy on your own website, with links in the footer; since September your cancellation policy can go there too. The new sections Facilities, Practical info and Guestbook (scanned pages from your guestbook) are each switched on with a tick.

  24. Invoices straight to ClearFacts

    If your accountant works with ClearFacts, every final invoice and credit note lands in their ClearFacts inbox automatically, as UBL with the PDF inside. Set it up via Settings → Integrations → Accounting → ClearFacts.

  25. Billit sends your invoices via Peppol

    With Billit connected, invoices to customers with a VAT number go out over the Peppol network. To do so, switch on the Send via Peppol (B2B) toggle on the Billit tile.

  26. Measuring what your ads bring in

    BedFlow reports your paid bookings from the server to your own Google Analytics 4, even when the guest uses an ad blocker or pays later via the link in their e-mail. Set it up via Settings → Integrations → Guest experience → Google Analytics (measurement).

  27. Ad target: when does advertising pay off?

    On Management → Insights → Statistics, enter your monthly budget and your channel's commission under Ad target. A card shows how many direct bookings you have this month, and from how many the campaign is cheaper than paying commission.

  28. Settling wellness on the tile

    If a wellness session still has a balance due, you settle it on the Wellness today tile in Daily → Availability: the Bancontact button lets the guest pay straight away, and Record payment notes a payment that has already come in.

    Under Daily → Getting started a step-by-step plan guides you in four phases from your first room to your first booking. BedFlow ticks off the steps itself, and the menu item stays until everything is done.

  30. Payment required on a phone booking

    On a manual booking you choose right away whether the guest has to pay online. Switch on Payment required and they get a payment link in the confirmation e-mail, followed by the usual payment reminders; with it off, they pay on site.

  31. Arrival time outside your check-in hours: you decide

    If a guest asks for an arrival time outside your check-in hours, via Booking.com too, you get a request to approve or decline it. With Telegram you decide with a single button and the guest gets an answer in their language right away; without Telegram the request comes by e-mail and you decide on the booking.

    Type in your domain name and BedFlow puts your website on it, with and without www, and shows which DNS records to enter at your provider. You find it under Settings → My property, section Website & booking page, button Set up web address.

  2. Portuguese invoices for Alojamento Local

    BedFlow now automatically issues AT-certified fatura-recibos via InvoiceXpress: ATCUD and QR code on every document, automatic reporting to the AT (e-Fatura) and a credit note on cancellation. The wizard under Settings → Integrations walks you from API key to série registration; invoicing happens on full payment or at check-out, at 6% IVA or under the art. 57 CIVA exemption (M10). The guest automatically receives the PDF by email in your own branding.

  3. Editing WhatsApp texts yourself

    You now edit the automated WhatsApp messages yourself, just like your e-mails: under Management → Messages → Message templates, group WhatsApp templates. On the timeline of Automated messages you see which message goes out when.

  4. Rules for public holidays and weekends

    Under Management → Rates → Restrictions you require a minimum stay at weekends with one click, or close arrival or departure on public holidays. The rules apply again every year and are passed on to your channels.

  5. Legal guest register via the guest page

    Your guests fill in the mandatory guest register themselves on their guest page, and the register is ready for an inspection. You switch it on under Settings → Integrations → Guest experience → Guest registration.

  6. Choosing per channel who collects the payment

    Indicate per channel whether the guest already pays the channel, or has to pay you online in advance. That way a guest who already paid does not get a second payment request. The switches are under Settings → Integrations, in the channel's settings.

  7. Log in with a passkey or with Google

    Log in with your fingerprint, your face or your device's PIN, or with your Google account, without a password. You create a passkey in your profile (top right, on your name), under Passkeys.

  8. Connect WhatsApp via QR

    Scan the QR code right under Settings → Integrations and your WhatsApp is linked. TextMeFlow is created and connected automatically for everyone entitled to it (Starter+), with a login button to your TextMeFlow account. The WhatsApp card now shows the active provider, and if the connection drops, a banner appears immediately to reconnect.

    Besides Stripe we now also support Mollie as a card payment gateway. Especially relevant for Dutch operators who want to offer iDEAL as standard without Stripe fees. Per property you choose either Stripe or Mollie (BedFlow automatically makes sure they are never both on at the same time); Bancontact can stay on alongside either of them. Your guest sees a blue Mollie button on the payment page and Mollie gets its own tile under Settings → Integrations.
